Workspaces act as a configurable collaborative work area and common data environment.
Included is a “Home” page, shown after login, for overview and navigation of workspaces a user has access to.
Store, manage and maintaindata, files (and metadata) against a range of standard record types, includingconfigurable fields.
Record types not in use can behidden, different status can be configured per record type and display namescan be adjusted per workspace.
Standard record types include:
Documents| Tag | Equipment | Bulk Material | Product | Purchase Order | Project | System| Work Pack | Work Area.
Load and store files of any (allowed) format against records.
Store and view images/pictures for any records.
Establish, management and maintain relationships between record types, with visibility within the record (e.g. tag to document links).
Role assignment, permissions, and access management, for users, user groups and organisations within a workspace.
Apply and manage terms, classifications and taxonomies per workspace, including using class libraries / reference data libraries.
Use Sharecat with workspace search, explorer app, create hierarchies & structure, find items with QR Code scanning and get integrated file viewer
App for uploading files anddata into the workspace, including feedback for system validation, backgroundprocessing for large upload(size and number of files), upload history, reviewtab.
Uploadwith containers with support for zip files, AAS and VDI 2770 formats.
Arange of bulk operations, including; File Upload/Download, Data Export/Import,Record Creation and Update, User Creation & Update.
Integrated help centre for user guides.
Standard reports presented via PowerBI embedded within the platform.
Use local camera to scan QR code IDs to find associated information in workspace.
Configurable workflows to automate and standardise document routing, approval processes, tasks and notifications.
Automated distribution of documents according to distribution matrices and other rules linked to workflows.
Parallel simultaneous document commenting tool integrated in the platform for document reviews.
Integrated viewer for PDF files
Data extraction from Excel files loaded into the workspace.
(Planned Release in Q2 2026) This feature will index the contents of files in the workspace. It will include OCR when needed. This allows users to search file contents without opening the files
Self-service tool for configuring schemas, elements and rules for assigning unique ID numbers (multiple if required) for records.
User specific “My Page” summarising notifications and assigned roles for the workspace.
Automated information notifications based on assigned role.
Self-service “Favourites” lists to add flagged records, including selection of different automated notifications linked to changes for the records. Favourites lists also act as saved searches.
